The workbook that had quietly become a business system.

A commissioned client build for a Kent firm. Lifestyle Choices ran its whole pipeline out of one spreadsheet: clients, deals, introducers, expenses. We moved it into a web app with real records, a real audit trail and encrypted storage, without changing how the business actually works.

Overview

A private CRM built for a single Kent business owner whose spreadsheet had outgrown itself. The workbook held every client, every deal in flight, every introducer relationship and every expense - which meant one accidental sort, one stale copy on a laptop or one corrupted file was a genuinely bad week. We mapped what the spreadsheet was really doing, then rebuilt it as a web application: client records with attachments, a deal pipeline with stages and reminders, introducer tracking so referral sources are attributable, expense capture, conversion reporting with charts, and an activity log so changes are traceable rather than assumed. Data lives in an encrypted database on UK infrastructure with automated backups, access is behind proper authentication, and errors are monitored rather than discovered. Deliberately not a general-purpose CRM: it is shaped around one person's actual working week, which is why it gets used.

What we built

Clients that are records, not rows

Every client is a record with contact details, history, attachments and notes attached to it - so nothing depends on remembering which column meant what, and nothing is lost when a row gets sorted.

A pipeline with stages and reminders

Deals move through defined stages with dates and reminders, so the question "what needs chasing this week" has an answer on screen instead of in someone's head.

Introducers, properly attributed

Referral sources are tracked against the deals they produced, which is the number most small firms guess at. It turns "I think most work comes from word of mouth" into something you can actually check.

Expenses and conversion reporting

Expense capture alongside the pipeline, and conversion charts over time, so the business can see what is landing and what it cost to land it.

An activity trail

Changes are logged rather than assumed. For a system holding client records that is not a nice-to-have - it is the difference between knowing what happened and hoping.

Built to be looked after

Encrypted database, automated backups on UK infrastructure, error monitoring through Sentry, and a written maintenance schedule we run against it. It is on our hosting and maintenance plan, so it stays patched rather than ageing quietly.
