Moving you across without losing anything
Migration is the part people are right to be nervous about, so it runs to a plan, not to a weekend. We inventory what exists first: every mailbox and its size, the shared addresses, the calendars, the files, the distribution lists and, crucially, every service that sends email using your domain, because the invoicing tool nobody remembered is what breaks deliverability afterwards.
Then a pilot with one or two mailboxes, so any surprise happens to a volunteer and not to your whole team. Mail, contacts and calendars copy across while the old system is still live and receiving, so nothing is in flight during the switch. The DNS change happens at a quiet hour, and mail sent during the changeover is delivered to both until propagation finishes.
Afterwards, SPF, DKIM and DMARC are configured properly so your email arrives in inboxes, not spam folders and nobody can convincingly spoof your domain. We start DMARC in monitoring mode and tighten it once the reports are clean, which is the difference between a policy that protects you and one that silently blocks your own invoices. The old mailboxes stay accessible read-only for an agreed period as a fallback.
